How we handle your data.
This policy covers personal information collected through the website, and operational fleet data captured by the product once an account is provisioned.
1. Who this policy is about
This policy explains how Harvinfra handles data collected through this website and through the product itself. It applies to visitors, sign up applicants, prospective customers and paying customers.
2. What we collect
Two categories of data are relevant.
- Personal information submitted through the sign up and contact forms - name, work email, role, company name, fleet size, current tracking method and any free text notes you provide.
- Fleet operational data generated by the product for paying customers - running hours, service history, inspection records, consumables usage and site metadata for the equipment in your account.
We do not collect personal information about the operators or drivers of equipment beyond the site supervisor identity attached to a signed inspection or close of day entry.
3. Why we collect it
- To respond to sign up and contact enquiries.
- To provision and operate the product for paying customers.
- To generate the audit trail and inspection export required by the compliance capability.
- To improve the product based on aggregate usage patterns - never identifying an individual visitor.
4. Legal basis
We collect and process data on the basis of your consent when you submit a form, and on the basis of contract when you are a paying customer. Where local law requires an additional basis for a particular category of data, we honour it.
5. How we store it
All data is encrypted in transit and at rest. Access is restricted to the roles that need it - site supervisor, fleet manager or company administrator - and every access is logged. Backups are encrypted and rotated on their own schedule.
6. How long we keep it
- Personal information from the contact form is kept for as long as the conversation is active, then archived for a further 24 months, then removed.
- Sign up personal information is retained for the life of the account, then removed on a verified deletion request inside 30 days.
- Fleet operational data is retained for the life of the account so the audit trail stays intact.
- Access logs are kept on a 24 month rolling window.
7. Sharing
We do not sell personal information. We do not share it with third party marketing services. Operational data is only accessible to the account it belongs to, and to Harvinfra staff strictly for support or security.
8. Sub processors
Our infrastructure runs on established cloud infrastructure providers. A current list of sub processors is available on request as part of the security review during procurement.
9. Your rights
You can request access to the personal information we hold about you, ask us to correct it, or request its deletion. Requests are verified against the account before they are actioned. To exercise these rights, use the contact form.
10. Cookies
This website uses only the cookies strictly necessary to serve the site and remember minor preferences. It does not run third party advertising or profiling cookies. If that changes, this policy will be updated before the change goes live.
11. Children
This service is for professional fleet operations. It is not intended for children and we do not knowingly collect personal information from children.
12. Changes to this policy
When this policy changes materially, we will notify the primary contact on active accounts and update the version reference on this page.
